Custom Shopify App or Existing App: A Buying Checklist

Start with the business problem rather than a preference for a custom build. An existing app can be the right answer when it already supports the workflow and its limitations are acceptable. A custom build becomes worth investigating when those limitations materially affect operations.

Write down the must-have requirements before reviewing demos. This prevents attractive extras from masking a missing feature your staff need every day.

Test an existing app against real tasks

Run the whole workflow

Use representative products and orders in an appropriate test environment. Include an exception, not just the happy path.

Check control of your data

Review permissions, available exports, deletion options and integration interfaces. Ask what happens to your workflow if you change suppliers.

Check commercial limits

Review the plan that fits your actual usage and the costs as usage grows. Include any other subscriptions needed to complete the workflow.

Check support and ownership

Establish who diagnoses a failure when several apps or systems are involved. Find out which changes the vendor can support.

When to investigate a custom build

A custom app may be appropriate when a required process cannot be configured in an existing product, several systems need coordinated behaviour, or the workflow is central to how your business operates. Demonstrate that gap before funding development.

Custom software also creates responsibility: someone must maintain it, monitor failures and manage changes. Include those duties in the proposal instead of assuming they are covered by the launch price.

Use a small pilot to decide

Agree on one representative workflow, the acceptance checks and the cost of the pilot. Compare manual effort, error handling and staff usability against the current process. Only expand the scope when the result justifies it.
