How to Budget for a Custom Shopify App

A useful Shopify app estimate starts with the workflow the app must support. A simple approval tool, a storefront widget and a product sold to other merchants have different delivery and maintenance requirements. A single price for all three hides more than it explains.

Before asking for a quote, describe who uses the app, the action they take, the systems involved and how you will know the project worked. This gives competing suppliers the same problem to estimate.

The scope decisions that change the budget

Users and distribution

Identify whether the app serves one business or will be offered to other merchants. Ask which onboarding, support and commercial flows the estimate includes.

Systems and data

List each external system, the records exchanged, the direction of sync and the expected volume. Include failure handling and reconciliation in the scope.

Interfaces and permissions

Describe the screens, storefront features and staff roles needed for the first release. Mark optional features separately.

Testing and handover

Ask for a test plan, acceptance criteria, documentation and access handover. Confirm who checks the finished workflow before launch.

Compare the first year, not just the build

Ask suppliers to separate discovery, implementation, testing and launch from ongoing hosting, monitoring, third-party subscriptions and maintenance. Confirm who owns each account and who responds if the workflow stops.

A cheaper build can become expensive if routine changes require undocumented work. Conversely, a larger first release can waste budget when a smaller pilot would establish whether the workflow is useful. Request a core scope and separately priced options.

Send a brief that can be estimated

Provide your store URL, an example input and expected output, the current manual process, required integrations and the reason for the deadline. Share a budget range if you have one so the proposed scope can be realistic.

Do not treat an indicative estimate as a fixed commitment. Ask what assumptions would change it, how changes are approved and which costs are excluded. We have not published a universal price here because these details determine the work.
